PPF Installation Handover Checklist for Dealers
A completed installation is not the end of a PPF sale. The customer still needs to know which film was installed, which panels are covered, how to care for the surface and whom to contact about a concern. A clear PPF installation handover checklist helps a dealer network give consistent answers without turning a short sales conversation into an unsupported warranty promise.
This guide is for distributors preparing a handover process for their installer partners. It covers records, customer instructions and follow-up responsibilities, not a substitute for model-specific installation training. Keep the handover concise, but make its important details traceable to the actual job.
Connect the Handover to the Installed Product
Begin with the supplier model, the dealer’s selling name, the finish and the installation date. Record the roll or batch reference where available. A customer who was sold a private-label package should still be linked internally to the film that the shop actually used.
Use the approved dealer product record as your source. Do not type the warranty or material brand from memory, and do not copy those fields from a previous job involving a different model. If the order changed during installation, update the invoice and handover record together.

Document Coverage before Discussing Protection
List the Panels, Not Just the Package Name
Terms such as front package or full coverage can mean different things between shops. List the panels actually covered and identify excluded areas. Where practical, use a simple vehicle diagram alongside the written list. Record agreed seams, exposed edges or other coverage limitations so the customer understands what the package includes.
Keep a small set of clear completion photographs associated with the job. Photograph the overall coverage and any areas that were discussed with the customer. Retain pre-existing paint-condition notes separately from installation observations. The purpose is an accurate shared record, not a claim that photography proves every aspect of workmanship.
Use the Correct Product Family
Identify whether the customer received clear, matte or color PPF. A matte finish should not be described using a glossy-film care sheet by default. When a job uses more than one film, list each model with its panels. The ELOV model comparison can help staff locate the relevant product information before finalizing the record.
Give Written Care Instructions with a Source
Attach or link the current instructions for the installed model. The handover should identify the instruction revision or date, the shop contact and any job-specific follow-up advice. Avoid offering one universal waiting period or cleaning-product list for every film, installation environment and finish.
Ask the product supplier to confirm the topics below, then explain the applicable instructions in everyday language. If information is missing, resolve it before releasing a customer-facing care card rather than filling the gap with a recommendation copied from another brand.
- When the customer may first wash the vehicle under the applicable instructions.
- Approved washing methods and any restrictions around film edges.
- Suitable cleaning products for the installed finish.
- How to report contamination, an appearance concern or a lifted edge.
- Whether a shop recheck is recommended and how to arrange it.
- Which treatments or removal procedures require professional advice.
Distinguish a care instruction from a performance claim. For example, describing a product as self-healing does not promise that every scratch, impact or stain will disappear. The shop should explain only the capabilities and limitations supported for the selected film.
Separate Warranty Duration from Coverage
Put the warranty reference next to the model name. ELOV’s confirmed product-line policy is Clear PPF 5-10 years depending on model, Matte PPF 10 years and Color PPF 5 years, starting from the installation date. The applicable written terms determine coverage and exclusions. These durations do not establish that every visible issue is a covered product defect.
Also identify who handles the customer’s first inquiry. Film warranty support and the installer’s workmanship commitments should not be merged into a single undocumented promise. Confirm any registration or proof-of-purchase requirements from the actual warranty document; do not assume that a requirement used by another supplier applies.
For a clear-film example, PPF-C05 uses Covestro TPU and is specified at 12 mil, or 304 um. Those details identify that model; they must not be copied into the record of a thinner film simply because both products are transparent.
Use a Practical One-Page Handover Record
A distributor can standardize the fields while allowing each installer to add job-specific notes. Keep the internal batch reference available to staff even when it does not belong on the customer’s short care card.
- Job identity: invoice reference, vehicle description, shop and installation date.
- Installed film: supplier model, customer-facing product name, color and finish.
- Coverage: covered panels, exclusions and any agreed limitations.
- Care: applicable instruction document and any confirmed follow-up advice.
- Warranty: duration for that model, starting date, written terms and contact route.
- Completion: customer questions, outstanding observations and copies of the records supplied.
Invite the customer to review the information and ask questions. A handover acknowledgment should record receipt and the discussion; do not use it as an improvised substitute for clear warranty terms or an automatic declaration that no issue can exist.
Create a Clear Follow-Up Route
When a customer reports an issue, ask for the job reference, affected panel, installation date and clear photographs. Have the installer inspect the concern before assigning a cause. Avoid diagnosing a material defect, workmanship issue or care problem from a single image alone.
The distributor should retain the link between the job and supplier records. That allows a focused discussion about the specific model or batch without making the customer repeat the same information to several people. Keep customer details limited to what the review needs.
FAQ
Is a PPF handover card the same as a warranty certificate?
No. The card summarizes the installed product, care instructions and support route. It should reference the applicable written warranty rather than replacing or expanding its terms.
Can every installer use the same handover template?
Yes, as a common structure. Model, finish, panels, installation date, care reference and warranty details must be completed for each job. Review translated versions against the same approved source.
Should the customer contact the factory first?
Define the support route before delivery. The installing shop is usually best placed to identify the job and inspect an installation concern, while the distributor can coordinate product documentation and supplier questions.
What should a distributor request from ELOV?
Send the chosen models, intended market and language, and ask which product specifications, care instructions and written warranty documents are available for the program. Use PPF buyer resources to organize the purchasing information, then contact ELOV to confirm the documents before issuing branded customer materials.
